Plan a client follow-up and set a reminder

Plan a next action, save it with the contact and check the earlier reminder when the work is complete.

English narration and subtitles. App screenshots in Spanish, with English field guides.

Fictional example. The CSV is independent: it does not import actions or synchronise with the app. A new result does not clear the earlier reminder. The app screenshots are in Spanish, with English narration and explanations.

00:00 · Turn a conversation into a next action

After a conversation, make the next step clear: what needs to happen, and when. We will plan an action in the follow-up template, record it against a contact in My Contacts Cloud, then keep the result and clear the earlier reminder. All data is fictional. The app screenshots are in Spanish, with English explanations.

00:24 · Prepare one row in the worksheet

Download the English client follow-up CSV and make a working copy. It contains three examples to replace with your own data. Our example uses Ana Núñez, the contact shown in the app. We record the action to send a proposal, the planned date and Alex as the agreed person responsible. Each row represents one next action.

00:51 · Keep the worksheet separate from the app

The worksheet is separate from the app: it does not import actions or synchronise with the CRM. Owner, priority and status help you organise the worksheet. Filling them in does not assign a user or set a priority for each interaction. You then record the action manually in the contact's history.

01:15 · Record the conversation

Open Ana's interactions and choose New interaction. Enter the date, time, subject and what you agreed. Here, we record a phone call, identify the need for a proposal and select Interested as the outcome. The description says Alex will prepare it. That records an agreement; it does not assign the task automatically.

01:41 · Set the next action and reminder

Under Pending Action, choose Send Proposal and put the details in the description. Set the reminder for the planned date, then choose a time: here, the twenty-ninth of October at eleven in the morning. The worksheet only supplied the date. Save and reopen the interaction to check that both the action and the reminder were saved.

02:05 · Check the Reminders list

Now open Reminders. The next action appears with the contact and its scheduled date. Review it when you return to the task, so you have the context you need. The list helps you keep track of pending work; a reminder does not carry out the action for you.

02:26 · Keep the result in a separate interaction

We will simulate sending the proposal early, without sending a real message. Add another interaction for Ana with that result. Select Proposal Sent and choose Other for the pending action, with no reminder date. This preserves what happened without overwriting the original conversation. The second interaction does not remove the reminder you saved earlier.

02:53 · Check that the earlier reminder remains

Back in Reminders, the original pending action is still there. Recording a result in another interaction does not change the earlier reminder's date. You need to review it explicitly so the list reflects the work that is still outstanding.

03:11 · Clear the reminder date and keep the history

Go back to the history and edit the first interaction, the one with the pending action. Clear just the Reminder date, then save. Check the list again: that reminder is gone. Now review the history. Both interactions in our example are still there. Clearing the reminder has not deleted either conversation.

03:37 · Update the worksheet manually

If you also use the worksheet, update its status and completion date manually. Add a new row for another next action. The template and the app do not update each other. The description links to the English resource, guide and manual. Start with one clear action, and check its reminder when the work is complete.
