00:00 · From Excel to contact records
Start with an Excel contact list and turn it into contact records in My Contacts Cloud. We will prepare a small file, map its columns and check what was added, including rows that were skipped. All data is fictional. The app is shown in Spanish, with English field guides alongside the screenshots.
00:26 · Download the template and make a working copy
Download the English Excel template from Resources. Its first sheet has the sixteen supported fields and a fictional example for Alex Morgan. The second sheet provides instructions. Keep the original, make a working copy and replace the example before importing. For this recording, we used a separate Spanish working copy with eight fictional test cases.
00:56 · Prepare the first sheet
Put your contacts on the first sheet, starting in column A, with one person per row. Name is required. You can leave Code empty so the app generates it. If you start with a CSV, rearrange its columns to match these fields and save it as an Excel workbook. Changing the extension alone does not prepare the data.
01:23 · Preserve phone formats and leading zeros
Format phone numbers, postal codes and identifiers as text. This lets you check prefixes and leading zeros before importing. Ana's postal code starts with two zeros. Her phone number also appears in two formats. Standardise them first: the app may treat two formats of the same phone number as different values.
01:52 · Open the importer and map the columns
Open the Excel importer from the app's Import menu and select the working copy. Because the first row contains column names, enable the headers option. Map A to Code, B to Name, H to Phone one and J to Email. Check all sixteen mappings. Another workbook may use different columns. The English field guide explains the Spanish controls shown here.
02:24 · Import a small batch
Start with a small number of contacts. Check the file size and the contact capacity available in your workspace. Once you have checked the mappings, select Import and wait for the result. This example deliberately includes some problem rows so we can see what happens to them.
02:48 · Reconcile the result with the source rows
Four contacts were added, and the summary reports two duplicates. But our file had eight data rows, so another two rows were skipped as well. The summary does not explain every omission individually. That is why we compare it with the working sheet and the contact records that actually appear in the list.
03:13 · Check matching email addresses and phone numbers
One row repeats Ana's email address with capital letters and spaces at either end. Another puts her Phone one value in Phone two. Both are skipped. A match on any non-empty phone number or email is enough to skip a new record. The app checks existing contacts and those added earlier in the same batch. It does not merge records or update the originals.
03:44 · Check omissions the summary does not explain
The other two omissions have different causes: one row repeats Bruno's code, and another has no name. They are not included in those two phone or email duplicates. Carla is added even though she has no phone number or email. Diana is added too: her phone number represents Ana's number but is written without spaces. Review these cases before importing the rest.
04:15 · Open a contact and check the imported data
Open Ana's contact record and compare it with the file: her accented name, company, phone number and postal code. Check that both leading zeros remain and that a code has been generated. This review is part of the import. Groups, tags, interactions and reminders are set up afterwards in the app; they are not columns in this template.
04:44 · Continue with your contacts
The description links to the English template, preparation checklist and step-by-step guide. Download a copy, prepare a small batch and check the resulting contact records before continuing. You can then record a next action for each contact and keep the follow-up together in My Contacts Cloud.
